About Aitken College

Aitken College is a co-ed K-12 school in Melbourne with over 1,200 students and 166 staff.

In Term 3 2016, the College sought a solution to help meet the demands of an increasingly complex environment created by significant legal, regulatory and societal changes.

Challenges and needs

They needed a way to ensure that all staff could access up-to-date policies in one place. At the time, policies were held on a shared drive, which was central but not searchable. There was a risk that staff might save policies on their own drives, which meant missing policy updates as they were published.

The College also required training and testing to ensure staff understood policy content and they required a professional platform for incident reporting.

Ideagen Policy Logic worked with Aitken College to implement Ideagen Policy Logic Education, which includes: 

• Policy Management System for policy content and management

• Learning Management System to manage and track compliance training, staff induction and professional development

• Assurance for hazard and risk management, task management, reporting and more

Results

“The [Ideagen Policy Logic] systems have given our school a central location to find everything – from policies, to forms to reports. We are now confident that staff can find what they need and are accessing the latest versions of policies,” said Compliance Manager, Amy Schembri. To help ensure that staff are kept up to date with new policies and changes, Amy publishes updates in the staff newsletter, linking to relevant policy documentation in the Policy Management System.

Amy adds that from a management perspective, having the system has helped school leaders be more proactive with managing obligations and has helped streamline some aspects of school management like risk, incidents and complaints handling.

She said that by having staff lodge feedback or complaints in a consistent manner, it has enabled school management to identify trends and respond faster.

Amy further adds that with the Learning Management System, the school has been able to keep up with completion of mandatory training requirements for staff.

"My background was in corporate compliance and Aitken College was my first role in a school," she says.

"I have used compliance systems in the corporate world, so found that having Policy Management and Assurance in place when I started at Aitken meant that I was able to get up to speed quickly and hit the ground running.

"I find the systems user friendly and I appreciate that everything I need can be reported on and shared with the Board when relevant.

"The Learning Management System implementation happened on my watch and I found the level of professional training and assistance I got helped me quickly learn the system and share that knowledge with my colleagues."
